2015 has been a great year here at Workspace Solutions, and we’re even more excited to see what’s to come in 2016! As we press on into the new year, we can’t help but reflect on the passing year. You might be in the same boat – measuring your businesses productivity, seeing how you can improve, etc. Did you get everything done that you wanted to accomplish last year? If not, you’re not alone. Time slips away – and fast. It seems like there’s not enough hours in the day to accomplish all of our tasks! In order to make sure 2016 is a great year for your business, here are some tips and apps to help you stay focused and increase productivity. With a little help, you can be sure 2016 is the most productive year for your business!

Time Management

First and foremost, the most important aspect of maximizing your productivity is to master time management. If it seems like there’s not enough time to get everything done, chances are, you may be wasting valuable time on things that just aren’t important. So, where is all of your time going? Apps like Rescue Time run securely in the background on your computer and tracks time spent on applications and websites. It then sends you detailed reports to give you and accurate picture of your day and indicates your biggest time thieves. The first step in maximizing productivity is cutting out those big time wasters.

Stay Focused

With today’s digital world, it’s easy to get distracted. A recent study showed that for every interruption it takes approximately 25 minutes to get back on track. So, when you have the urge to check facebook, again, or think you need to know what’s happening in the news, apps such as Anti-Social can help you stay focused on the task at hand. It blocks any distracting websites that make you unproductive. You can set it for as little as 15 minutes or as many as 8 hours.

And, if you keep your phone beside you while you work you know that every time that screen lights up with a notification, it interrupts your productivity. Set aside a few hours each day to focus only on your work. Put your phone on airplane mode or put it in the next room to avoid looking at it.

Don’t Multitask

What?? DON’T multitask? But isn’t it the best way to make sure all of my projects get done? Stanford University recently released a study that found that multitasking is less productive than doing a single project at a time. And, that multitasking not only reduces performance but, also lowers your IQ.

Next time you’re working on a project, shut off your phone, close your door, and turn off notifications for emails.

Do Creative Work First

This might seem counterintuitive to what you typically do. Most of us spend the first few hours of the workday doing something mindless such as returning emails. Even mindless activities can tire the brain pretty quickly, which means your concentration and creativity are at an all time low before you even begin the day’s important tasks. In order to combat this, switch your day up. Work on the most pressing issues first, and then move on to the more mindless tasks.

If you’ve hit a wall in your work, and don’t know where to go next, take a break from it and come back. Many issues such as writers block can be fixed by coming back to the project with renewed concentration and a fresh start.

Know Yourself

Studies have also shown that most people are only truly focused for about 6 hours per week. This means that what you put into those 6 hours can make or break your entire week. The key to maximizing productivity is knowing when those six hours occur for you and working on the most important tasks during those times. Some people concentrate better in the early morning while some might focus better at night. Know which camp you fit in and be sure to devote some time during those hours, especially.

Check Your Office Furniture

Go For It! How To Land Your Dream Job

As children, we’ve all dreamed about becoming doctors, nurses, sailors, pilots, astronauts, firemen, or even dinosaurs! But as we get older, we sometimes lose perspective on our dreams. Your dream job may seem like a “pie-in-the-sky” goal. My dream job? Yeah, right. Only people like Steve Jobs or Steven Spielberg or Stephen King are lucky enough to end up getting rich doing what they love.

Well, it’s not just luck, it’s not only in high-profile careers, and it doesn’t just happen to people named Steve. Everyone knows lots of people who are unhappy or stuck on auto-pilot in their careers… but there are just as many who truly love what they do (and most of them are making a pretty good salary doing it). They didn’t get there just by luck, but with hard work and perseverance. Need some suggestions for ways that can get you closer to — and hopefully land you smack-dab in the middle of — your dream job? Read on!

[An aside: First, you need to figure out what your dream job IS, of course. If you haven’t exactly identified it yet, there are a plethora of books and online sources that can help you figure this out. Some people have known what it is all their lives, some people take decades to figure it out. What matters is that once you know it, your path to getting there becomes a lot more clearcut.]

Now the suggestions:

Find role models doing your dream job. Learn from them.

Read about their career paths if you can’t meet with them personally. If you can meet them in person (and it never hurts to ask, people generally enjoy sharing their own knowledge) ask for guidance, suggestions, advice and referrals to other people to talk with. Try an internship. Volunteer for their organization. While you may eventually choose to take the different path than your role model, it can be very educational to learn about why and how they made the choices they did to get them to where they are.

Find other role models (happy and successful in other fields than yours). Learn from them.

You may be amazed at the lessons you can learn, or the connections you can make, by talking to other successful, happy-in-their-job people. Even if their field is not exactly what you want to do, they may lead you to meeting people who work where you would like to work some day doing the job you would like to do. Being genuinely interested in others, and supportive of the work they do, can open up unexpected doors all the time.

Make sacrifices. But don’t quit your day job (yet).

You may have to give up some things to get your dream job: maybe not being paid as much pay as you’d like, or maybe living in a different part of the country. You will have to weigh these sacrifices vs. the experience. If those seem too difficult to make, perhaps it isn’t really your dream job if you aren’t willing to make sacrifices for it?

Of course that doesn’t necessarily mean you should throw all caution to the wind. You can research your dream job, meet people and dip your toes in the water with freelancing or volunteering while you hang on to your current job. And remember to be grateful for that job and show that graciousness at work — you never know how the people you know there might play a role in getting you where you want to be. Eventually you will need to take the leap from your current work to your dream job, but you will have the safety net of money and relationships with people there to help you make that jump.

Get the skills needed to land your dream job.

From your research about your role models and your preferred job, make sure you are developing the relevant skills you need to get there. Do you have the skills necessary to perform your dream job? If not, go get them! Read books, take night classes or online courses. Do what it takes to gain the skills you’ll need to land your dream job.

Sell yourself.

Even if your dream job doesn’t involve sales, there’s always going to be a sales aspect to getting there. Selling yourself! Whether it’s your ideas or your skills and knowledge, nobody is going to know their value if you don’t promote them. Of course a standard resume is important and occasionally needed. But it’s equally important to be able to market yourself across “platforms”:

  • have short talking points to describe yourself when you meet new people
  • massage your resume so it is relevant for different types of social media
  • learn from your role models or people in the field what types of social media are used to discover candidates

You may think you hate selling, but if you want to love your job realize that selling yourself is a key part of getting there. You may discover that you actually enjoy it!

Make a plan. Then be willing to trash it.

Don’t over think it or think that ever single step needs to be mapped out. Focus on what you can do in the near future that will get you to the big picture. Then revise as you go along. You will learn what was worth the effort and what was not, or how you could have approached it differently. Ask your role models or mentors for advice about your next steps. You may find that the specifics of your dream job evolve as you get closer to your goal.

Take a BIG step.

Eventually you will need to tackle a big step to get closer to your goal. It will take courage. Keep your faith in your abilities and the experience you’ve gained through your work so far, the research you’ve done, and the people you’ve met. Accept that this may ultimately be a step back, but the lessons you learn will do way more for your progress than any number of playing-it-safe tasks.

Pay it back. Pay it forward.

Once you get to your dream job, never forget the help you got to get there. Express gratitude for the job you have and be grateful to those who helped you along the way. Equally important, mentor and openly help others get to their own dream jobs.

The take-away? Want to do what you love? Identify it. Be smart about how to get there. Work hard. Engage with and appreciate other people. You CAN have your dream job!

8 Things to Do Before Taking some Time off Work

Did you know that over 50% of Americans don’t use their paid vacation time at work? For one reason or another, we’re hesitant about taking the time off that we’re entitled to! Not only are we entitled to it, but we desperately need it! The daily work grind can wear you down both physically and emotionally. As a result, you’re going to get burnt out, and the quality of work may begin to decline. If you haven’t taken a vacation in a while, now is the perfect time to do so! Here are eight things you can do before and after your vacation to ensure that you have a relaxing, stress-free week away!

1. Work Ahead

One thing that might hold you back from enjoying your time away is the work that you’re going to miss. The week before your vacation, take account of the important tasks that you’re going to miss the following week. If possible, work ahead and complete some of these tasks before going away.

2. Notify fellow employees/clients

Studies show that 61% of Americans still work while on their vacation. This doesn’t make for a very relaxing vacation. Make sure your fellow employees, clients and bosses know that you will be out of the office. If not, they may try to contact you, and you will feel obligated to tend to any problems they might have.

3. Adjust your Email and voicemail Settings

Even after you notify everyone who needs to know, chances are, someone will still attempt to contact you while you are gone. In order to minimize the risk of this happening, set up an auto-responder on your email letting people know that you will be out of the office, along with providing them with the contact information of someone else that would be able to help them. Don’t forget to change the outgoing message on your voicemail so people know that you’ll be out of the office.

4. Delegate Tasks

Many people fear going on vacation because they assume that no one else can do the work that they do. No matter how much work you do, just trust that your employees can handle the workload for a week. Since you’re going to be gone, make sure you delegate some of your responsibilities to other coworkers, so you know that your work is still getting done.

5. Plan Ahead

The biggest reason that many people are hesitant about going on vacation is the anxiety brought on by the idea of a mountain of work upon their return. In order to make sure you are able to enjoy your vacation, plan ahead to reduce some of the work that will be waiting for you. Do as much as you can before you leave, and make sure that all loose ends are taken care of.

6. Plan around Busy Seasons

Every business has a natural ebb and flow of busy periods. One way to make sure that your workload is minimized when you return is to plan your vacation around these busy seasons. For example, if summer is busy season for your workplace, then maybe it’s best to plan a vacation in the winter. On the bright side, travel and lodging prices usually go down during the off-season!

7. Make Checklists

Look at your calendar at what you will miss on vacation, and what you have going on upon your return. Make two checklists; one checklist of things you have to do before you leave and one checklist of high priority tasks you need to do on your first day back.

8. Clean your Desk

Coming back from vacation will be much worse if you come back to a cluttered desk. Take some time to clean off your desk and organize your papers, so you can return from your vacation with a clean slate and minimum anxiety!
